Job Overview

The Operations Administrator supports the mission of Oasis Rest International (ORI) by ensuring that the day-to-day and future operations of the organization function as efficiently and effectively as possible. This role includes administering and improving established systems and procedures to support onboarding, offboarding, and current hosts; liaising with ORI’s bookkeepers for donor support, payroll, and financial records; and providing administrative support and insight to the ORI Leadership Team. Effective time management, impeccable follow through, attention to detail, an ability to maintain strict confidentiality, the highest of financial integrity, clear communication, and proactive problem solving are crucial skills for this position. A passion to see every Christian leader refreshed through R.E.S.T. by joyfully serving staff on the front-line is also a must.

Supervisor: ORI Director of Operations & Finance

Hours per week: 20, salaried

Start Date: mid-February, 2024

Key Responsibilities and Duties:
  • Keep regular office hours to respond to routine donor and staff needs via email and phone in a timely fashion
  • Facilitate the on-boarding and off-boarding of staff through effective training, communication, and documentation
  • Support current staff through administering benefits, insurance, annual budgeting, and monthly reports
  • Process monthly payroll, file receipts, and liaise with bookkeepers regarding all financial matters
  • Proactively maintain annual compliance, reporting and regular renewals both externally and internally for ORI
  • Ensure all content on website, staff dashboard, organizational records etc. is up to date
  • Compile and send communication on behalf of the leadership team as directed
  • Actively participate in weekly ORI Leadership Operations meetings
  • Support ORI Leadership through note-taking, calendaring, and agenda-setting
  • Engage in a prayer meeting once each month with ORI Leadership
  • Seek out opportunities to improve one’s administrative skills and organizational effectiveness
  • Provide administrative and logistic support for Staff Gatherings
  • Support other initiatives as directed by ORI Leadership

  2. Previous experience working in ministry is an asset (though not required)

  3. Technical Skills
    Able to proactively train yourself (via video tutorials and online help options, etc.) in order to independently and proficiently navigate and use the following operating systems:
    • Google Suite
    • Bamboo (HR Program)
    • Kindful (Donor Software)
    • Araize (Payroll)
    • Corporate Zoom account
    • Mailchimp (Communication)
    • And other similar programs as required

Compensation and Expectations
This is a part time (20 hours per week) at-will position with a monthly salary starting $1800, depending on qualifications. Employee benefits include one hour of PTO earned for every 30 hours worked for vacation or sick leave. The employee may work remotely with the exception of required in-person events (conferences or meetings arranged with supervisor). Employee evaluation and performance reviews will take place on a weekly basis with real time feedback, with the aim of having goals and objectives clearly articulated and successfully achieved.
